What's New in ComtyLink
We ship new features every month. Here's what we've built recently for Australian building managers.
Showing the last 6 months — ComtyLink has been shipping updates since 2019.
Resident Requests Now Show Live Status
When you progress a maintenance job, the linked resident request now updates automatically — moving from Pending to In Progress to Completed. Residents see the current status on both the web portal and the mobile app. If you close a job with a resolution note, that note also shows on the resident's mobile app.
- Status updates automatically: Pending → In Progress → Completed
- Resident web portal and mobile app both stay in sync
- Resolution note visible to residents on the mobile app when a job is closed
Cleaner Empty States Across List Pages
When a list page has no records, you now see a clear, page-specific message — 'No assets yet', 'No incidents yet', and so on — with a button to create one. When your filters return nothing, a 'No results match your filters' prompt appears with a Reset filters button. This replaces the generic 'No data available' message that showed up everywhere before.
- Context-aware messages across Assets, Maintenance, Incidents, Work Orders, Contacts, Documents, Notice Board, and more
- 'Reset filters' prompt when search or filters return no results
- Add record shortcut shown directly on the empty page where applicable
Request a Quote from a Maintenance Job
Building managers can now send a quote request email to a contractor directly from a maintenance job — without leaving ComtyLink. Pick the contractor and their contacts, review the pre-filled message and job description, choose which photos to include, and hit send. Every quote request is recorded on the maintenance job, with delivery status tracked so you can see whether the email was received.
- Send quote requests from the maintenance job — no switching to your personal email
- Maintenance photos are embedded inline in the email so contractors see them straight away
- All sent quote requests are listed on the maintenance job with delivery status
- Contractor replies go straight to the building manager's own email inbox
Contractor Sign-In Calendar
The contractor sign-ins page now has a calendar view. Switch to month, week, or day to see who was on site and when — sign-ins are colour-coded by status (on site today, forgot to sign out, already signed out). Click any entry to see the full details, sign a contractor out, or open their full sign-in record.
- Month, week, and day calendar views for contractor sign-ins
- Colour-coded by status — on site, overdue, signed out
- Click any entry to sign out or view the full record
Booking Report: Cleaner Layout
When a resident submits a report on a booking, it now appears at the top of the booking page — right where you need it — with the report text and photos displayed clearly. Previously the section sat at the very bottom and could be invisible if the report had photos but no text.
- Report section moved to the top of the booking — highest-priority content first
- Photos display in the same media gallery used elsewhere, with lightbox support
- Reports with photos but no text are no longer hidden
Contractor Insurance Expiry Alerts
The dashboard now shows a card in the Requires Attention section when any contractor's insurance certificates are expiring within 30 days or have already lapsed. Click through to the contractor record to review and update the certificate before it becomes an issue.
- Expired and expiring certificates surface on the dashboard automatically
- Sorted by urgency — most overdue first
- Click any card to open the contractor and update the certificate
Resident Portal: Refreshed Design & Self-Service Profile
The resident portal has been updated with the same clean new design as the building manager portal — a lighter sidebar with your building's logo and breadcrumb navigation. Residents can now update their own first name, last name, and mobile number directly from their profile, without needing to contact the building manager. The dashboard also now shows a parcel pickup card when deliveries are waiting.
- Residents can edit their name and mobile number from their profile
- New sidebar design with building logo — matches the building manager portal
- Dashboard parcel widget shows pending deliveries at a glance
Fixed Time-Block Amenity Booking
Amenities can now be set to offer fixed time blocks instead of a free booking window. Building managers define specific slots per day — residents then pick exactly one available block. Already-taken slots show as unavailable, so double-bookings are impossible.
- Define named blocks per day (e.g. 9–12 am, 12–3 pm, 3–6 pm)
- Residents pick one block; full slots shown as unavailable
- Works alongside the existing single-window and per-day-hours booking modes
Contractors Can Check Out Keys at Sign-In
Contractors arriving via your building's QR sign-in link can now select and check out keys as part of signing in — no building manager involvement needed. Keys are automatically checked back in when the contractor signs out. Building managers choose which keys appear in the list.
- Toggle 'Contractor Sign In' on any key to make it available at the QR sign-in
- Contractor picks from available keys when signing in
- Keys auto-checked in on sign-out
Keys List: Checked Out and Available Tabs
The keys list now has two dedicated tabs — Checked Out and Available — each with full server-side pagination. The list opens on Checked Out when any keys are out, or Available when everything's back. Previously, keys past the first page could be silently hidden.
- Separate tabs for Checked Out and Available keys
- Full pagination on each tab — no keys hidden regardless of building size
- Defaults to Checked Out tab when any keys are currently out
Mobile: Building Auto-Selected When You Only Have One
When creating a new maintenance job in the mobile app, if your company only has one building it is now pre-selected automatically — no need to open the picker and tap to choose it.
- Building pre-filled on the new maintenance form for single-building companies
- Multi-building companies are unaffected — the picker still appears as before
New Sidebar is Now the Default
The new sidebar design is now on for all building managers. If you were using the old sidebar, you've been switched over automatically. Your choice going forward is saved — if you prefer the old look, switch back at any time from the footer menu at the bottom of the sidebar.
- All building managers now start with the new sidebar
- Switch back to the legacy sidebar from the footer menu in the sidebar
- Your preference after switching is saved and respected
Dark Mode for the Sidebar
Building managers using the new sidebar can now switch to a dark appearance. Find the Dark mode toggle in Menu Preferences under a new Appearance section.
- Toggle dark mode in Menu Preferences → Appearance
- Dark canvas with cobalt accents
- Only available with the new sidebar design
Drag and Drop to Upload Files
You can now drag photos, videos, or documents directly onto any maintenance job, incident, work order, asset, booking, or scheduled task to upload them. Drop multiple files at once — they upload one by one.
- Drag and drop files directly into upload areas across supported forms
- Drop multiple files at once — they upload one by one
- Works on maintenance, incidents, work orders, assets, bookings, and tasks
Log Parcels from the Kiosk
When running the parcel kiosk on an iPad, you can now register incoming parcels directly from the kiosk — without logging out or switching to the full desktop view. Tap Add Parcels in the kiosk search bar to enter multiple deliveries at once.
- Add Parcels button in the kiosk search bar
- Register multiple parcels at once with building and carrier
- Resident notifications sent as normal
Amenity Opening Hours Per Day of the Week
Amenities can now have different opening hours for each day of the week. Set a standard window that applies to all days, or flip the switch to customise each day individually — weekday vs weekend splits, late closures on Fridays, closed on Sundays.
- Configure different hours for each day of the week
- Mark individual days as closed
- Simple single-window view for amenities with the same hours every day
Pending Bookings Appear on the Dashboard
Pending amenity bookings now show up in the Requires Attention section on the dashboard — alongside maintenance requests and other items that need a response. No need to navigate to Bookings separately to notice a new request.
- Pending bookings visible without leaving the dashboard
- Click any booking card to go straight to the booking
- Disappears once the booking is confirmed or declined
Maintenance Reports: Group by Category & Sort by Priority
When generating a maintenance report, you can now choose to group jobs by Category instead of Status — useful when presenting work to a strata committee by trade or area. Priority has also been added as a sort option.
- Group by Category (alphabetical, uncategorised last) or Status
- Sort by Priority to surface urgent jobs first
- Both options available when creating a new report
Maintenance Report History & Permanent Links
Past maintenance reports now have their own dedicated page with a permanent link. Each report shows its current status — Generating, Ready, or Error — and polls automatically until it's available to download. No more one-shot forms that disappear after generation.
- List of all previously generated reports
- Each report has its own page with a bookmarkable URL
- Status updates automatically — no need to refresh
Find Closed Maintenance Jobs from the Main List
The Status filter on the maintenance list now includes Completed and Cancelled. Tick them to see closed jobs alongside active ones — or on their own. The list defaults to active-only as before; ticking a terminal status expands it. No separate History page needed.
- Completed and Cancelled now available in the Status filter
- Mix active and closed jobs in the same view
- Default view unchanged — active jobs only until you choose otherwise
Resend Login Invitation to a Resident
If a resident lost or missed their welcome email and can't log in, you can now resend the invitation directly from their profile. Open the resident in the unit detail page, and a Resend Login Invitation button appears when their account is waiting for first login.
- Resend from the resident edit panel on the unit detail page
- Button only appears when the resident hasn't completed first login
- Works with both standard and custom email templates
Android: Back Button Now Works in the Mobile App
The Android hardware back button (or back gesture) now navigates correctly throughout the ComtyLink app. Previously it did nothing on inner screens. It also respects the Discard Changes prompt — if you have unsaved edits, it asks before leaving.
- Back button navigates between screens as expected
- Prompts to discard unsaved changes before leaving a form
- iOS is unaffected
New Sidebar Design — Opt In
A lighter, cleaner sidebar is now available for building managers. A banner appears at the top of the page inviting you to try it — click through to switch. The new sidebar uses a flat list layout with a softer look. If you prefer the classic style, switch back at any time from the footer menu at the bottom of the sidebar.
- Opt in from the banner shown at the top of the page
- Flat list layout — easier to scan
- Switch back to the classic sidebar anytime from the sidebar footer menu
Choose Who Receives Maintenance Request Emails
Building managers can now configure exactly which email addresses receive notifications when a new maintenance request comes in or when a resident replies. Previously these emails always went to the company email and all building managers — now you can set a specific list of recipients for your company.
- Configure recipients in Settings → Email Notifications → Maintenance Requests
- Override the default (company email + all building managers)
- Applies to both new request notifications and resident reply notifications
Email Notification Settings — Cleaner Layout
The Email Notifications settings page has been reorganised. Each notification type — Contractor Activity, Parcels, Work Orders, Notice Board, and Maintenance Requests — now has its own dedicated page, making it easier to find and update settings without scrolling through a long combined form.
- Each notification type is on its own page
- Navigate directly to a specific type from the left sidebar
- Per-page save — changes to one type don't affect others
Bond Payment Tracking
When a resident pays a bond for an amenity booking, you can now record the payment details — method, date, and reference — directly on the booking. The bond record updates to show it has been received, giving you a clear audit trail from collection through to refund.
- Record payment method, date, and reference for bonds received
- Bond status reflects payment clearly on the booking
- Works on internal bookings too (no resident required)
Booking Payments
Amenities can now be configured to require a non-refundable booking fee, in addition to or instead of a bond. Record the payment type, date, reference, and amount when creating or editing a booking.
- Configure a payment requirement on any amenity
- Record bank transfer or credit card payments on each booking
- Works alongside the existing bond system, or independently
Maintenance Active View & History
The maintenance list now shows only active work by default — completed and cancelled items move to a dedicated History view. Your active list stays focused on what actually needs attention.
- Active list excludes completed and cancelled jobs
- Dedicated History view for all closed-out work
- Custom statuses can be marked as terminal in Settings
Investment Units: Investor & Tenant View
When a unit is marked as an investment property, the owner now appears in a dedicated Investor card and residents are listed separately as Tenants — no more mixing the absentee owner with the people actually living in the unit.
- Owner shown in a dedicated Investor card
- Tenants listed separately in their own section
- Managing Agent details editable directly from the unit page
Action Logs
A full audit trail of building activity is now accessible from the main menu. See who changed what and when — from maintenance updates to parcel entries — all in one searchable page.
- Filter by 27 activity types
- Click any item to jump to the related record
- Full history across maintenance, parcels, contractor sign-ins, and more
Notice Board: Send to a Specific Floor
When composing a notice board message, you can now filter recipients by floor level. Select Level 3 and only residents on that floor receive the message — no need to manually pick individual units.
- Floor level chips in the recipient filter panel
- Combine level and unit-tag filters together
- Recipient count updates instantly as you select levels
Mobile: Custom Maintenance Statuses
The ComtyLink mobile app now shows your building's custom maintenance status labels and colours — the same names and colour coding you've configured in Settings on the web.
- Custom status labels and colours shown on mobile
- Available when creating or updating a maintenance job
- Custom statuses visible in the mobile filter panel
Resident Request QR Code Poster
Generate a printable A4 poster with a QR code that residents can scan to submit a maintenance request — no app or login required. Customise the headline and instructions for your building, then print and put it up in the lobby or common areas.
- Residents scan and submit from any phone
- Customisable headline and instructions
- Poster downloads as a print-ready PDF
Sequential Maintenance Numbers
Maintenance requests now get clean sequential reference numbers — M-0001, M-0002, M-0003 — making it easier to reference a specific job in conversations, emails, and reports. Numbers are per company, so every maintenance request has a clear, consistent identity.
- Sequential numbers: M-0001, M-0002, M-0003, ...
- Easy to reference in emails and with contractors
- Resident-submitted requests keep the MR- prefix
Asset & Contractor History

- Maintenance and task history on every asset and contractor
- Contractor list shows total maintenance job count
- Click any row to open the full maintenance or task record
Contractor Favourite Contacts

- Star a contact on the contractor profile to mark as favourite
- Favourites auto-select when the contractor is chosen
- Works across maintenance, tasks, and recurring tasks
Create Bookings from the Availability Calendar
Click any empty day in the availability calendar and jump straight to a new booking — with the date and amenity already filled in. No more navigating away to the booking form separately.
- Click an empty day to see existing bookings for that day
- One click to open the new booking form, pre-filled
- Works for all amenities
Automated Parcel Pickup Reminders
Set a reminder interval (e.g. every 3 days) and ComtyLink automatically emails residents when their parcel is still waiting to be collected. No more manually chasing people — the reminders run daily in the background.
- Configurable interval per building (1–14 days, or disabled)
- Reminders sent automatically every morning
- Tracks last reminder sent to avoid spamming residents
Type a Contractor Name on Quotes & Invoices
You can now type a contractor's name directly on a quote or invoice without needing a full contractor record in the system. Useful for one-off jobs or trades you don't use regularly — just type the name and move on.
- Free-text contractor name on any quote or invoice
- No need to create a contractor record for one-off jobs
- Links to a full contractor record if one exists
AI-Powered Document Filing
Upload a PDF and ComtyLink automatically reads it to suggest the document name, description, and category. No more typing out details manually — just upload and confirm.
- AI fills in name, description, and category on upload
- Confidence indicator shows how sure the AI is
- All fields stay fully editable — you're always in control
Unit Details Now Fully Editable
Car space count, storage count, and car space location can now be updated on any unit at any time. Previously these could only be set when a unit was first created — if anything was entered incorrectly, there was no way to fix it.
- Edit car space count and location
- Edit storage count
- Changes logged in the unit history

- Unanswered items excluded automatically on full export
- Available at any inspection stage, not just Completed
Contractor Sign-In: Overdue Alerts & Sign-In History
