Pick the period and buildings

Open Reports and choose the last 30 days, 3 months or 12 months, or any dates you like. Every building in your complex, or just the ones this report is for.

Drag in and customise each section

Drop sections in the order you want them read, then open each one to untick anything that doesn't belong, and add your own notes anywhere in between.

Generate

Click Generate Report and keep working. When it's ready, download the Word document from your reports list — and again whenever you need it.

Every record in the report is your call

Open any section to see exactly which records go in — and change it.

  • See the count first. Each section shows how many records it holds for your dates and buildings.
  • Preview, search and untick. Click any section's count to see its records, search them, and untick anything that doesn't belong.
  • Filter. Maintenance by status, priority or category; inspections by status or template; incidents by status or severity.
  • Keep open jobs in view. Add older maintenance jobs that are still open, so the committee sees what's outstanding.
  • Unticked records are counted. The report notes how many records you unticked, so your committee knows the list was edited.

How much can I customise each section?

Every section opens to the records it will include: search them and untick any you don't want. Maintenance, inspections and incidents also have filters — status, priority, category, template or severity — and maintenance can bring in older jobs that are still open. You choose the order of the sections, and you can add your own text sections anywhere between them.

What goes in a monthly building management report?

Up to seven sections — Maintenance, Inspections, Incidents, Notice Board, Contractor Sign-Ins, Parcels and Sign-Ups (new resident registrations) — plus your own title and text sections for a summary, recommendations or notes.

What does the finished report look like?

A branded Word document. It opens with a cover page — your complex's cover image (when you've added one) and logos from your branding settings, and the reporting period — and a contents page that fills in when you open it in Word, then your sections in the order you placed them. Maintenance, inspections and incidents include full detail with photos for up to 25 records each; the rest are listed line by line.

Can I edit the report, or save it as a PDF?

Yes. It's a Word document (.docx), so you can make final edits in Word, or save it as a PDF from there before you send it to your committee.

Who builds the reports, and who can see them?

Your building managers build them in the ComtyLink web app, and finished reports stay in the reports list for them to download again. Residents don't see them.

Can one report cover multiple buildings?

Yes. Choose every building in your complex, or just the ones the report is for. Contractor sign-ins always cover the whole complex.

Does AI write the report?

Only if you ask it to. In a text section, Write with AI drafts a short summary from this report's counts and most notable records, marked as an AI draft for you to review and edit. Everything else in the report is your records, as they are.

How long does a report take to generate?

Start from the standard monthly report and the layout is already in place — then change what you need. Generating runs in the background: large reports can take a few minutes, and the finished report waits in your reports list, ready to download whenever you need it.

Does the report builder cost extra?
